Non-Exempt): ExemptGeneral Description:The VP of Administration &
Human Resources serves as the strategic leader responsible for
aligning administrative operations and HR initiatives with
organizational goals. This role oversees operational efficiency,
regulatory compliance, talent management, and workplace culture,
driving a high-performing and inclusive environment to support
long-term business success.ESSENTIAL FUNCTIONS:1. Administration &
Operations
- Serve as a trusted advisor to CEO/President & Senior Vice
Presidents (Leadership team) in a wide range of Admin
subjects.
- Develop and execute strategic plans to optimize office
facilities, procurement, travel programs, and logistics.
- Ensure compliance with federal, state, and local
regulations.
- Manage risk mitigation, crisis response plans, and business
continuity strategies.
- Oversee departmental budgets, vendor contracts, and cost-saving
initiatives.
- Act as administrator for the HR and Administration segment of
the internal OA system.
- Supervise and delegate tasks to administrative staff to ensure
effective and efficient general office operations.2. Human
Resources Leadership
- Serve as a trusted advisor to CEO/President & Vice Presidents
(Leadership team) in a wide range of HR subjects, such as legal
compliance, compensation benchmarking, performance management, and
design the overall structure of employee benefits program.
- Maintain effective relationships with department managers and
employees to identify problems and provide solutions to HR related
events and incidents, such as employee retention, discrimination
and harassment investigation, and recruiting strategy.
- Develop and implement the company's career ladder, job levels,
pay scale, and compensation strategy to enhance recruitment and
retention, including workforce development and reduction, as well
as incentive programs.
- Manage the company's 401(k) Retirement Plan, serving as the
trustee of the plan. Monitor the performance of the company's
fiduciary. Perform annual compliance reporting and mandatory
compliance testing. Lead initiatives to educate employees on the
features and benefits of the 401(k).
- Lead DEI (Diversity, Equity, and Inclusion) initiatives to
foster an equitable workplace.
- Handle employee relations and workplace conflicts, including
conducting timely investigations, counseling, and recommending
corrective actions. Act as the first point of contact for
grievances and complaints.
- Ensure compliance with labor laws (e.g., FLSA, ADA, FMLA, DOL,
EEOC) and resolve complex employee relations issues.
- Drive HR technology adoption and data-driven
decision-making.
- Manage and implement companywide training initiatives, such as
mandatory compliance training, management and leadership training,
and employee productivity, professionalism, and mental health
training.
- Supervise HR/generalist providing day-to-day HR operations,
including payroll processing, time & attendance management,
benefits administration, new hire orientation, termination
meetings, exit interviews, unemployment hearings, open
enrollment.3. Organizational Development
- Spearhead organizational restructuring and change management
programs.
- Enhance employee engagement, retention, and leadership
development through targeted programs.
- Shape corporate culture by embedding core values into policies,
communications, and employee experiences.4. Executive Collaboration
- Serve as a key member of the executive team, advising on
operational and human capital strategies.
- Report to the CEO/ President on critical metrics (e.g.,
turnover rates, compliance audits, cost optimization).Required
Knowledge, Skills, and Abilities:
- Have a thorough knowledge of admin and human resources
management principles and best practices.
- Handle confidential documents and information and exercise
discretion, such as employee records, harassment complaints,
compensation data, and immigration documents.
- Must have extensive recruiting experience including screening
of resumes and conducting lawful interviews and ensure compliance
in the hiring process.
- Perform HR audits for compliance.
- Familiarity with Federal, State and Local laws, labor market,
hour and wage regulations.
- Strong organizational skills.
- Will attend industry-related HR Conferences to keep updated on
government-related changes.
- Must be able to meet deadlines and attention to detail.
- Must be a team player.
- Be able to communicate proficiently in English.
- Have the abilities to supervise administrative support
staff.Minimum Required Education, Credentials, Experience:
- Bachelor's or Master's degree in HRM, Business Administration
(MBA), or similar field from an accredited school.
- Current or previous experience in an HR Manager role is
required.
- 10+ years of progressive experience in HR and administration,
with 5+ years in senior leadership roles.
- SHRM Senior Certified Professional (SHRM-SCP), Senior
Professional in Human Resources (SPHR), Professional in Human
Resources (PHR) highly preferred.
- Proven track record in multinational or multi-industry settings
(e.g., tech, healthcare, finance).Core CompetenciesLegal &
